Tracking & Documents

 
 
On this opportunity screen you have all the information of the client, ie. His contact details, quotes and tracking on one screen.  As already explained in this manual, everything starts with an opportunity.  By clicking on the various TAB controls at the TOP of the page you can view the status of the opportunity, outstanding quotes, orders etc.
 
Tracking
The tracking TAB keeps track of all the processes.  It is important that the CRM help you with the process of closing the deal.  Once the deal/opportunity was created, the whole process of tracking this deal started.  You will see on the right hand side of the list that there are icons indicating where in the finalizing stages of the process, the deal is.  From creating the deal, to follow-up call and finally accepting the deal, are all stored under the tracking option.
When deals are lost, supervisors can monitor the time delay between each process and determine what caused the deal to go astray.
·     Date quote was created
·     Date quote was emailed/faxed/sms
·     Date follow-up was made
o     SMS
o     Visit
o     Phoned
·     Demonstration date
·     Date terms and conditions were sent
·     Date quote was accepted
·     Date of bank approval
·     Date deal was accepted or rejected
 
Documentation
 
The DOC’s (Documentation) TAB is where you can upload specific documents to this opportunity.  The types of scanned documents would include:
·     Signed quotation with terms and conditions.
·     Signed rental contracts
·     Or any other relevant documentation
·     Photos of the site, vehicles etc.
Once the deal is closed and customers want previous documentation, you can just convert back to that old opportunity and look at all documents attached to that deal.
