Here you will create all new opportunities. It is important that you capture new opportunities. The more you capture the better performance you will get from your CRM software. The advantage of capturing most of your clients will be beneficial when starting with the marketing part of the software. The more clients (larger database) you have on the system, the wider your area of email and SMS marketing will be.
Creating Opportunities.
A list of all your existing opportunities will be displayed. Click on any of the names in the list to open that client in the opportunity page. From this main list you can also filter with the start and end dates at the top of the screen or use the advance search button. Hover your mouse over any of the headings so that the quick filter text boxed can appear. Just click on the "ADD OPORTUNITY" button at the top if you would like to add a new customers. NB: also remember that if you already created the "LEAD" you can convert that lead into a new opportunity.
Normally the date range us set for last thirty days, you can change this in the system settings or just manually select a new date range through these date picker options.
Use these two dropdown buttons to quickly view/filter teams and team members or view opportunities according to predefined groups created under the contacts in odyssey.
Use the checkboxes on the right of grid to select multiple opportunities and then send emails or set actions to all selected opportunities through these buttons.
You can create your own opportunity statuses in odyssey, use the filter button tp quickly access and view smaller list of opportunities.
The advance search in Odyssey allow you to filter for customized data. please refer to the section explaining the advance search in the help files.
Hover your mouse over the small magnifier glass to enable the quick search options.
Number of days since the client was loaded onto the system. You can set these and color code in the system settings.
Get a quick preview of the number of quotations active on the opportunity as well as the number of orders.
Multiple opportunities can be selected by clicking these checkbox icons.
Click on any of the opportunities in the list to open the customer details of the “Create opportunity” page. The Compulsory fields are indicated with a RED block during saving process. These fields can be set in the settings page and might be required fields like cell hone or email address for SMS and email marketing (explained on page 14). For statistical reasons, some fields are added to determine how the customer found us, or our probability to close the opportunity. The sales representative needs to indicate how the customer was acquired, is the deal cold or hot and when he/she expects to close the deal. These fields later on determine how long it takes to convert deals and what level of deals they found and are currently busy with.
IMPORTANT: Try to not create a new opportunity if your client already exists in the contact database.
The opportunity screen allows you to select existing client details, as you start to type a company name, the list of existing companies will be displayed in the drop down. The details loaded in the drop down consist of your previous contacts. Use this option to avoid ending up with lots of duplicate details within your opportunity list.
All fields in RED blocks on your screen, indicate required fields and need to be entered. Finding opportunities later on the display grid can be complex if not enough details where entered.
Although Odyssey can allows you to enter an expected deal amount, this amount will later be determined by the actual quotation amount. Companies that do not use the quotation system will be required to complete this amount. Companies that use our quotation system can leave this field open as the system will insert the total on the quotation into this field.
Below the opportunity details are the various quotes, orders or documents you attached to the client. You can click any of the headings to open and display the details. A typical quote screen will look like the screenshot below. You can now directly email, print or view history about this quote. Once the quote gets accepted, you can click the accept checkbox and convert the quote into an order.
Ask your system administrator to activate the SMS feature. Odyssey sends an introduction SMS to all newly created opportunities to thank them in advance for the potential business and interest shown in your products.
